HakeemX (“we”, “our”, or “us”) is committed to protecting your privacy. This policy explains how we collect, use, store, and protect information when you visit hakeemx.com or use the HakeemX mobile app (together, the “Service”). Because HakeemX helps you understand your symptoms, some of the information involved is health information. We have tried to explain clearly what information we collect, why we use it, and how it is handled.

1. Information We Collect

Account information

To use the app, you create an account with an email and password, or sign in with Google. We store your email address and a unique account identifier. If you contact us through the website or by email, we may collect the name, email address, and other information you choose to provide.

Health profile information

When you set up a profile in the app for yourself or a family member you are managing, we collect health-related profile information that you choose to provide, including age, gender, height, weight, and chronic conditions. You can create more than one profile under a single account, for example to track symptoms for a child or another family member.

Symptom check-in data

When you run a symptom check, we collect the symptom you selected and your answers to the follow-up questions, along with the AI-generated analysis produced for that check, such as possible causes, suggested home remedies, and prevention tips. This information is saved to your account history so you can review previous check-ins and compare results over time.

Location data

If you use the “find nearby hospital” or “find a specialist” feature, the app may request your device’s location at that moment. The location is used only to perform the requested nearby search or open a maps search near you. We do not store this location in your HakeemX account or our database, and it is not used to maintain a location history.

Usage and device data (website)

When you visit hakeemx.com, we may collect information such as pages visited, time spent on the site, browser type, device information, and similar usage information through analytics tools. This helps us understand how the website is used and improve the Service.

Cookies

The website may use small files (“cookies”) stored on your device to support basic functionality and analytics. The HakeemX mobile app does not use browser cookies.

2. How We Use Your Information

• Generate an AI-based analysis of possible causes, home remedies, and prevention tips for the symptoms you report
• Save your check-in history so you can review past results and compare how a symptom has changed between visits
• Let you manage profiles for yourself and multiple family members under one account
• Send you reminders or comparison notifications if you have enabled them
• Respond to messages, feedback, privacy requests, and support requests
• Understand how the website and app are used and improve the Service
• Maintain the security of accounts and investigate reported problems, such as a flagged question
• Comply with applicable legal obligations

3. AI-Powered Symptom Analysis

HakeemX uses third-party artificial intelligence services to generate the symptom analysis requested by you. To generate a result, your selected symptom, answers to follow-up questions, and relevant profile details such as age, gender, height, weight, and listed conditions may be transmitted to a third-party AI provider.

We primarily use Google’s Gemini API for this processing. OpenAI’s API may be used as a backup if Gemini is unavailable. We do not intentionally send your name, email address, HakeemX account identifier, or other direct account-identifying information to these AI providers as part of the symptom-analysis request. The information sent is limited to the health and symptom information needed to generate the requested analysis.

To reduce processing time and improve efficiency, we may cache AI-generated results for reuse when a different user enters a closely matching combination of symptom, answers, and a coarse profile signature. The coarse profile signature may include a broad age range, gender, and whether a condition is listed, rather than your specific age or condition.

Cached results are stored separately from your HakeemX account and are not intentionally linked to your name, email address, or account identifier. They are used to provide a similar informational response when the requested inputs closely match an existing result.

AI-generated results are provided for general health information and educational purposes only. They are not a medical diagnosis and should not be used as a substitute for professional medical advice, examination, or treatment.

4. Data Sharing & Third-Party Services

We work with a limited number of service providers to operate and improve HakeemX. We do not sell your personal or health information.

• Firebase (Google) — used for authentication, database storage, account management, and related app services
• Google Sign-In — if you choose to sign in with Google, we receive information such as your email address and account identifier from Google to create or match your HakeemX account
• Google Gemini API — processes the symptom and relevant profile information described in Section 3 to generate AI-based results
• OpenAI API — may be used as a fallback to process the symptom and relevant profile information described in Section 3 when Gemini is unavailable
• Website analytics providers — such as Google Analytics, may process information about how hakeemx.com is used, subject to the applicable provider’s privacy practices

These service providers may process information on servers located outside your country, including in the United States. Where required, we rely on the safeguards and contractual protections provided by the relevant service providers for international data transfers.

5. Data Storage & Security

Your account, health profile, and symptom history data is stored using Firebase Firestore. Access controls are configured to restrict account data so that it can only be accessed by the appropriate authenticated account through the Service.

Data is encrypted in transit. We also use reasonable technical and organizational measures intended to protect information against unauthorized access, loss, misuse, or alteration. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Data Retention

We keep your account, profile, and symptom-history information for as long as your account remains active or for as long as reasonably necessary to provide the Service and meet applicable legal obligations.

If you delete your account, we delete the account information, profiles, symptom history, notifications, and question reports associated with your account, subject to any information that we may be required to retain by law.

Cached AI results described in Section 3 are stored separately from your account and are not intentionally linked to your account identifier. Because they are not stored as part of your account history, deleting your account does not automatically remove an unrelated cached result.

Website feedback or support communications may be retained separately from your HakeemX account for as long as reasonably necessary to respond to your request, maintain records, resolve disputes, or comply with legal obligations.

7. Your Rights & Choices

Depending on applicable law, you may have the right to access, correct, or request deletion of personal information we hold about you. You can update most profile details directly in the app.

8. Deleting Your Account

You can permanently delete your HakeemX account from Settings → Delete Account in the app. Account deletion removes your account and the profiles, symptom history, notifications, and question reports associated with that account, subject to information that we may be required to retain by law.

Account deletion is permanent and cannot be undone. If you are unable to access the account or use the in-app deletion option, you can contact us at majidalichoudry@hotmail.com to request assistance with account deletion.

9. Children’s Privacy

HakeemX accounts are intended for use by adults. A parent or guardian may create a profile within their own account to track symptoms for a child in their care, but we do not knowingly allow children to create their own HakeemX account or use the Service independently.

If you believe that a child has created an account directly or provided personal information to us without appropriate parental or guardian involvement, please contact us at majidalichoudry@hotmail.com so that we can review the situation and take appropriate action.

10. Medical Disclaimer

All content on HakeemX, including AI-generated symptom analysis, possible causes, home remedies, prevention suggestions, and other health information, is provided for general health awareness and educational purposes only.

HakeemX does not provide a medical diagnosis and is not intended to replace professional medical advice, examination, diagnosis, or treatment. AI-generated information may be incomplete, inaccurate, or unsuitable for a particular person or situation.

Always consult a qualified healthcare professional when you have concerns about a medical condition. If you believe you are experiencing a medical emergency or your symptoms are severe or rapidly worsening, seek emergency medical care immediately.

11. Changes to This Policy

We may update this Privacy Policy periodically as the Service, our data practices, or applicable requirements change. When we make changes, we will update the “Last updated” date shown at the top of this policy.

Your continued use of the Service after an updated policy is published means that you have had an opportunity to review the revised policy.
